The Head of Operations is overall responsible for the management and optimization of the day-to-day activities of the company. This position is required to work at the executive level and report to the COO. The responsibilities include leading agile and distributed teams, analyzing performance data, and strategizing for the future.
Oversee Operational Procedures
The Head of Operations primary responsibility is ensuring that the company’s daily activities run smoothly particularly in terms of its usage of digital tools to ensure seamless coordination across remote and physical sites. This managerial role also involves managing an agile and distributed team; assessing, designing, documenting, implementing and streamlining procedures and processes, analyzing performance data, and updating policies to reflect new developments.
Devise and Implement Innovative Strategies
The role is also responsible for new operational strategies in reaction to market changes. These innovative procedures aim to increase company growth or efficiency, working with the commercial and technical teams. The Head of Operations is held personally responsible for effective execution of these new strategies.
Manage Available Resources
The role prioritizes and manages company resources in order to meet goals and objectives, particularly with a globally distributed team. This includes both material and personnel resources, hiring, firing, motivating, and training staff; Propose, provide in-house training and implement relevant digital tools;
The Head of Operations will oversee the administrative team, responsible for sourcing and booking travelling arrangements for the team, approve and manage company events.
Communicate Operations Performance
Regular analysis of operational activities enable the Head of Operations to assess overall company performance. This is then presented to the executive leadership team through written reports and oral presentations. The Head of Operations also contribute to leadership discussions and assist in strategizing how to improve performance.
Head of Operations is also responsible for a subset of departments and teams. He/she has to develop successful, high-performance teams through effective training, motivation, and communication, organising team sprints and events.
Review Market and Regulatory Developments and Stakeholder Management
Keeping abreast of market and regulatory developments helps operations officers plan appropriately. They conduct consistent research and network with influential figures to stay up to date. Responsible for all internal and external legal items, including statutory matters. Maintain contracts with stakeholders, NDAs and liaise with external legal counsel. Responsible for Investor and Stakeholder Relations and engagements with Primary investors, through monthly updates and attend to requests, and minority investors, through periodic investor updates
Skills, Qualifications and Experiences:
Resource management – Head of Operations prioritize and manage available resources, such as personnel and revenue and the optimise resources through digital tools They must also exercise these skills to manage their own time and fulfill their extensive responsibilities
Data analysis – a Head of Operations extracts critical and actionable information from large amounts of data. They regularly review performance and sales records to uncover how operations can be optimized for future growth
Problem-solving– unexpected developments demand that Head of Operations exercise keen judgment and creative thinking. They must design time-sensitive and effective solutions to these problems while remaining calm under pressure
Communication skills – Head of Operations use clear oral and written communication to manage large teams and convey critical information to the executive leadership team
Digital Native skills - Dexterity in juggling online and offline communications and organisational processes and procedures. Able to work using digital tools such as Slack, Skype and Zoom for communication, Asana for project management, Xero for finance, Google sheets, docs and slides. Capable of multi-device coordination (laptop, tablet and mobile phone) and understand what tool is to be used when and what form of communication is optimal.
